Agreement & Signature INFORMATION BOOTH AGREEMENT — 19th Annual México-Tenochtitlan Celebration Ceremony
Please read the following terms and conditions carefully before submitting your application. By applying and participating as an information booth holder, you agree to comply with all event policies and requirements.
1. Respect for Cultural and Sacred Space
All booth holders must respect the sacred, cultural, and community-centered nature of this event. Materials, displays, or activities that disrespect, mock, exploit, or misappropriate Indigenous cultures, traditions, or peoples will not be permitted and may result in immediate removal without recourse.
2. Information Booth Space and Donation Requirement
Information booth space (10×10) is provided FREE of charge with the donation of one (1) child's gift for the community raffle. The donated gift must be new, unwrapped, and appropriate for children ages 3–12. It will be used in the community raffle during the event.
3. Application Approval
Submission of an application does not guarantee acceptance or space assignment. All applications are subject to review and approval by event organizers. Approved applicants will be contacted separately with confirmation and setup instructions.
4. Permitted Use
Information booths are intended for community organizations, nonprofits, cultural groups, educational outreach, and community services only.
No sales of products or services are permitted from an information booth. This space is strictly for informational and community purposes. Violation of this policy will result in immediate removal.
5. Setup and Breakdown
Setup will take place on Friday from 11:00 AM – 1:00 PM. Breakdown begins Sunday at 6:00 PM. All booth holders must exit the parking lot by 9:00 PM on Sunday.
Booth holders are responsible for providing their own tables, chairs, display materials, signage, and all equipment necessary to operate their booth.
Booth holders must adhere to all assigned setup and breakdown schedules and must vacate the event area by the designated closing time.
6. Booth Safety Requirements
All tents, canopies, and similar structures must be properly secured with adequate weights, such as sandbags or water weights. Event organizers reserve the right to require additional safety measures or prohibit unsafe structures.
7. Cleanliness and Waste Removal
Booth holders must maintain a clean, safe, and organized booth area throughout the event and are responsible for removing all trash, debris, and materials generated by their booth.
8. Alcohol, Drugs, and Prohibited Activities
The possession, use, or distribution of illegal drugs, controlled substances, or alcoholic beverages is strictly prohibited. Any booth holder found in violation will be required to leave the event immediately.
9. Compliance with Laws and Regulations
All booth holders must comply with all applicable City of Salinas regulations, California state laws, and event rules.
10. Rain or Shine Event
This event will take place rain or shine. No refunds or compensation will be issued due to weather conditions, natural events, attendance levels, or other circumstances beyond the control of event organizers.
11. Event Conduct and Removal
Calpulli Yaocuauhtli or You Are the Medicine and the City of Salinas reserve the right to restrict, remove, or deny participation to any booth holder whose conduct, materials, displays, or activities are deemed inappropriate, unsafe, disruptive, offensive, or inconsistent with the character and purpose of the event.
12. Release of Liability and Indemnification
Neither Calpulli Yaocuauhtli or You Are the Medicine, the City of Salinas, the Recreation-Park Division – Central Park, nor any of their officers, directors, employees, agents, volunteers, members, partners, contractors, or representatives shall be responsible for any injury, illness, loss, theft, damage, or expense incurred by booth holders, their representatives, guests, or property while traveling to or from the event or while participating in the event.
Booth holders participate at their own risk and assume full responsibility for their property, materials, equipment, and personnel.
The booth holder agrees to indemnify, defend, and hold harmless Calpulli Yaocuauhtli or You Are the Medicine, the City of Salinas, the Recreation-Park Division – Central Park, and their officers, directors, employees, agents, volunteers, members, and representatives from and against any claims, liabilities, damages, losses, costs, expenses, judgments, or legal actions, including reasonable attorneys' fees, arising out of or related to the booth holder's participation in the event, acts, omissions, negligence, or activities.
13. Acknowledgment and Agreement
By signing below, I acknowledge that I have read, understood, and agree to abide by all terms, conditions, rules, regulations, and requirements contained in this Information Booth Agreement and any additional materials provided by event organizers.
I understand that all rules, regulations, booth approvals, space assignments, and event requirements are subject to the final determination of Calpulli Yaocuauhtli or You Are the Medicine.
